Document Vault — manuals, warranties, registrations
Where to put PDF manuals and how to scan paper documents.
Document Vault is the boat's filing cabinet. Engine manuals, electronics manuals, registration, documentation, insurance, surveys, warranty cards — they all go here, tagged to systems or stand-alone.
Manuals have their own lane. A manual is a living PDF you can add pages to, reorder and search inside — open Manuals from the card at the top of this screen, or menu (☰) → Operational records → Manuals. Keep registrations, insurance and warranty cards here; put the book that came with the engine in Manuals.
Two buttons sit in the toolbar beside +, and both make a PDF that is filed here. The book icon builds the Vessel Handbook — one PDF about the boat, assembled from what is already in theONE for a surveyor, a buyer or new crew — with the previous handbook moved to the archive. The Claim packet button, left of it, builds one PDF about one incident, observation or work order for an insurer, a surveyor or a yard; opened from here it first asks "Which incident is this about?", and each packet is filed as "<Vessel> — Claim packet — <record> — <date>".
Steps
-
Open Documents
Menu (☰) → Operational records → Documents. The row is the owner's, management's and the captain's; crew, vendors and guests do not get it.
-
Add an existing PDF
+ → Add a photo, PDF or file → Files. Pick from Files (iCloud Drive, Dropbox, on-device). Name it — or don't: a blank title saves as the category and the day ("Registration · <date>") or the file's own name, and the placeholder shows which. Tag the system (optional) and set the category (opens on Other: Manual / Warranty / Registration / Insurance / Survey / Other…).
-
Scan paper to PDF
+ → Add a photo, PDF or file → Scan. The camera opens, edge-detects pages, you tap to capture, and theONE produces a clean searchable PDF. Useful for receipts, signed paperwork, and one-page warranty cards. If the scanner stops rather than you cancelling, the picker says "The scanner stopped — try again".
-
Search includes documents
Document names and tags are indexed. Search 'Volvo manual' and it comes up.
-
Share or email
Any document → share sheet → email, message, save to Files. Useful when a vendor asks for a serial number off the registration.
