Vessel Handbook — one PDF about the boat, for whoever needs it
Build one PDF about the boat from what is already in theONE — for a surveyor, a buyer, new crew, or all of it — and hand it over from the share sheet.
The Vessel Handbook is one PDF about the boat, built from what is already in theONE — nothing to retype. Pick who it is for and theONE assembles the cover, the particulars and the sections that reader needs: systems with make, model, serial and hours; the maintenance ledger; documents with their expiry dates; the manuals on the shelf, listed under their systems; vendors; crew; procedures from your playbooks; recent trips; and the emergency card.
Four presets, one tap each. Surveyor / Insurer is the boat on paper — particulars, systems, maintenance, documents, manuals, vendors. Buyer tells the same story to someone deciding whether to buy, with recent trips in place of vendor contacts. New crew / guest is what a person stepping aboard needs — the systems, the procedures, the emergency card, who to call, and the crew list with phones. Everything is all of it. Any preset can be trimmed section by section before you generate; the cover and the particulars are always in, and the line under the switches says roughly how long the book will be. The handbook is built from records kept to the owner, management and the captain, so crew are not offered it in the menu or in search; the Vessel Handbook row in Settings → Vessel Setup does show for crew, and opens to Not available.
What stays out. Attachments are never copied into the book — a document is listed by title, category and expiry, not embedded. Crew phone numbers appear only when you switch them on (New crew / guest and Everything switch them on for you), and vendor phone numbers and emails ride along only in those two presets. Nothing comes from the Boat IT vault — no Wi-Fi codes, no vendor logins — and no medical or allergy notes, ever.
Each Generate files the PDF under Documents as "<Vessel> — Vessel Handbook", moves the previous handbook to the archive marked "Replaced by newer document", and opens the share sheet so you can AirDrop it to the surveyor, email it to the broker, or print it for the guest cabin. A handbook too big for the vault (over 10 MB) still reaches the share sheet — it just isn't filed. The Setup sheet export in Settings is still there for a different job: that one is the raw data (PDF + JSON) for a captain's or an insurer's file; the handbook is the readable book. For one incident rather than the whole boat — the grounding, the lightning strike, the shaft job — build a Claim packet instead: one PDF about one record, from the record itself or the Claim packet button beside the book icon on Documents.
Steps
-
Open Vessel Handbook
Menu (☰) → Operational records → Vessel Handbook, right after Manuals. The same door is the book icon at the top of Documents, the Vessel Handbook row in Settings → Vessel Setup, and the word "handbook" in the search box.
-
Pick who it's for
Tap a preset — Surveyor / Insurer, Buyer, New crew / guest, or Everything. The section switches below change to match, and the page estimate under them ("About 6 pages") updates as you go.
-
Trim it
Switch off any section you would rather not hand over. Cover and Particulars stay on. Include crew phone numbers has its own switch and only shows while the Crew section is in — off unless you say so.
-
Generate
Tap Generate handbook. theONE builds the pages on the phone — a few seconds, with a progress line — then the share sheet opens: AirDrop, Mail, Messages, Print, Save to Files, whatever the reader uses. A "Saved to Documents" line confirms the copy in the vault.
-
Find it later
Every handbook is filed under Documents with the vessel's name and the date. The one before it moves to the archive, so the vault holds the current book rather than a pile of them. Generate again whenever the boat changes — a new engine, a fresh survey, a crew swap.
