Close out a work order — what the vendor found

Capture what the vendor actually found and whether the work was to satisfaction — the two things a surveyor reads three years later.

There are two halves to work. The first is noticing it and getting it to a vendor. This is what comes back.

Two things get captured, and they are deliberately different questions. WHAT THE VENDOR FOUND is often the most valuable line in the record — the observation said "generator overheats under load"; the finding says "raw-water impeller sheared, three vanes in the heat exchanger, cleaned and replaced". WHETHER THE WORK WAS TO SATISFACTION is a judgement on the work, not on the fault and never on the calendar.

Steps

  1. Record the finding

    Open the work order and enter what the vendor found, in their words wherever you can — the block is headed WHAT THE VENDOR FOUND, with a 'Record what they found' button under it.

    The close-out blocks only appear once the request has actually gone out: 'Send request to vendor' stamps the work order with its number, and the number is what brings them up. A job you arranged by phone and never emailed shows no close-out fields.

  2. Attribution stays honest

    Findings are the vendor's words. When the vendor is not in theONE you type them, and the record names both — "Chesapeake Fire & Safety — recorded by Captain Demo". It is never presented as yours.

  3. Rate the work, not the timing

    Early or late, if the work was done in good faith you say whether it was to satisfaction. Overdue is a separate fact and the app keeps it separate.
