How maintenance scheduling works

Service intervals, the Maintenance list, and the Maintenance Log.

theONE tracks maintenance by service intervals tied to each system. A system's Service Interval is the hours between services, the hours reading at the last service, and optionally a next-due date or hours target. A job on the Work orders board carries its own title, department, interval in days and/or hours, and next due date. The Work orders board shows what's due. What's been done is kept on each unit's service history and in Work Orders; the Maintenance Log lists what was marked complete on theONE's calendar.

Steps

  1. Maintenance list = what's coming

    the Maintenance tab (or the Maintenance chip on Mission Control). Sorted by 'most due first' — overdue, then due soon, then everything else. Due soon is within 25 run hours on an hours-based job, or within 30 days on a date-based one. Each row shows the system, interval label, and hours-to-next.

  2. Maintenance Log = what's been done

    Menu (☰) → Maintenance Log. It lists the maintenance, service and inspection events on theONE's calendar that were marked complete, newest first, each with its Comm Log — so it needs Apple Calendar connected. It is read-only: nothing is assigned, closed out or edited from here.

    A job marked done on its work order, or a service logged on a unit (Log Service), is not in this list. The unit's page keeps its service history — date, who did it, hours, cost and notes — and Work Orders keeps the jobs.

    Work Orders is the list icon on the Maintenance tab's toolbar: a different screen from the Maintenance Log. It lists every job that has been sent to a vendor, carried out, had findings recorded or been signed off, with All, Open and Closed filters, and tapping one opens its work order.

  3. Set a service interval

    Open a system from Vessel Briefing (or Search) — Settings → Vessel Setup does not reach a system detail page; its rows are per-type setup editors. The detail page has ONE Service Interval card: tap Edit for hours between services, the hours reading at the last service, and optionally a next-due date or hours target. There is no Intervals list, no Add interval and no per-interval label, and no vendor is assigned here — a vendor goes on a work order.

  4. Log a completed service

    Maintenance tab → the job on the Work orders board → tap it → 'Mark this done'. Or open the system → Log Service. Both record the same completion: date, who did it, hours, cost, notes. After saving, the interval's baseline advances to the just-logged reading.

    There is no swipe-to-complete gesture.

  5. Vendor sign-off (optional)

    If a vendor performed the service, sign their session off from the vendor's session card (Vendors → the vendor → the session). Signing off is the owner's, or someone the owner has given Sign off vendor work. The service record — task, hours at service and how they were read, who signed, notes — goes to the vendor by email from the same screen. The service event goes on the unit's service history with the vendor's name on it and a signed record goes to Documents — the paper trail for insurance and resale.
