Vendor sign-off — vendor came aboard, did the work

Sign off the one work order a vendor was assigned, once their session is on record.

Sign-off closes ONE work order with the vendor who was assigned to it. It is not a visit log: there is no checklist, no parts list, no photo capture, no signature pad and no hours-billed field — the sheet takes your review notes and nothing else.

What it writes: a service event on the linked system (only if the work order has one), a document in the maintenance vault, and an activity entry. It does NOT write to the vendor's comm log, and it does not close anything on the TODAY chip.

Signing off is the owner's, or someone the owner has given Sign off vendor work under their Keys. Reading this on a vendor's phone? Sign-off is done on the boat's side; the Open Vendors button on this article in the app's Help Center is for the boat's officers, not for you.

Steps

  1. What sign-off needs

    Sign-off needs two separate things, and neither is called Start Session — no such control exists.

    ONE: the work order. Assign the vendor to it (Maintenance tab → the job → 'Assign vendor'). When the owner, a manager, or a captain whose Captain may edit is on makes that assignment, it creates the portal session sign-off is scoped to, and it is scoped to that ONE work order — a vendor cannot be signed off for several jobs at once. A captain without Captain may edit can assign the vendor and send the work order, but no session opens, so 'Sign off vendor session' never appears for that job.

    TWO: the session. Menu (☰) → Settings → Vendors → the vendor → the person who came aboard → 'Clock in' when they arrive, 'Clock out' when they leave.

  2. During the visit

    Nothing to fill in. The session records its own time bounds, an audit trail, GPS and any clock-out notes; observations linked to the work order show alongside it. There is no checklist to tick, nowhere to note parts, and no photo capture — the sign-off sheet says so: theONE doesn't collect photos or files from the vendor; if they send you any, add them to the work order's documents. Keep parts and hours on the invoice.

  3. Sign off

    The button is on a session's own screen, and the door to it is narrow. The rows listed under Recent sessions on the person are not tappable; the only way through is the 'View all N sessions' link beneath them, which appears only once that person has more than five closed sessions on record. Open that history and tap any session: 'Sign off vendor session' is on the session screen. It shows only to the owner, or to someone the owner has given Sign off vendor work, and only while the vendor's portal session is live — it reads the vendor's live session, not the one you opened.

    The sheet asks for review notes. That is the whole of it — there is no signature pad, no 'signed verbally' box and no hours-billed field.

  4. After the visit

    The completion is written three places: a service event on the work order's linked system — ONLY if a system is linked, so a job raised with no Unit records nothing against the gear — a document in the maintenance vault, and a line in the activity log.

    Not the vendor's comm log, and nothing changes on the TODAY chip.
