Bring a guest aboard

How to add someone who is aboard but is not crew.

A guest is someone aboard for one trip who is not crew — a charter passenger, a friend, family. The owner, the captain or the manager invites them from Settings → Member Users, on iPhone or iPad: pick Guest, pick the trip, and give them the code.

A guest is the bottom of the ladder on purpose. On their own phone, signed in to their own account, a guest sees that one trip, their own guest card, and the trip's messages to the crew — and nothing else of the boat's: no logbook, no observations, no maintenance, no costs, no documents, no other people's details. They can change their own card and send the crew a message; that is all they write. A guest uses the app on their own phone and nothing else: the web portal is not for guests.

Their access ends when the trip does. The owner, the captain or the manager can end it sooner by removing them. When it ends, the boat comes off the guest's phone the same way it does for anyone whose access has ended.

A captain can bring a guest aboard without the owner's invite permission. Crew and vendors still need it — those roles can write to the vessel's record, and a guest cannot. Guests appear in their own section on the roster.

Steps

  1. Open the roster

    Menu (☰) → Settings → Member Users. There is no 'Members' row in the menu. The roster is grouped by role, owner first, guests last.

  2. Invite them as Guest

    Member Users → + (Invite member) → Guest. When this boat is the one linked in Account, the sheet asks which trip — any trip ahead with a return date — and makes an XXXX-XXXX code for the guest's own phone. The code puts them aboard for that trip only, until its return date. You may choose when the code itself stops working (up to 30 days; 7 if you don't). Not linked, the sheet makes a six-digit code that works on this phone only.

  3. What the code can and cannot do

    On their own phone the guest opens theONE, taps Have an invite code? on the Welcome screen, enters the code, and signs in or makes an account. They then see the trip, their guest card and the trip's messages to the crew. One guest trip at a time per person per boat: a second code for someone already aboard as a guest says so. A six-digit code is matched against this phone's own records, so on anyone else's phone it finds nothing.

  4. When the trip ends

    Their access ends at the trip's return date, on its own. To end it sooner, remove them from the roster (On this boat in the cloud, in Member Users). Either way their phone lets the boat go, as it does for anyone whose access has ended; their messages and their guest card stay with the boat.

  5. Give them a guest card

    Menu (☰) → Ship's Directory → + → New Guest: food and drink, allergies, a preferred bunk and an emergency contact. A guest is their own record there, not a crew card — a Crew Book card with the role Guest is listed with the crew, not under Guests, and guests are never imported from Contacts. Who sees it: the owner, the captain and the manager see every crew and guest card, allergies, dietary and medical notes included; other crew do not, so tell whoever is cooking what they need to know. A guest whose own account is signed in on their phone sees their own guest card, and can change it: it is on their trip screen, under My guest card.
